Ping2Reply Data Retention Policy
This production page is structured for the final policy, but it does not publish legal-effective dates, fixed retention windows, or jurisdiction-specific claims until the approved policy source is published.
1. Overview
Retention should preserve customer proof needs while honoring privacy, contractual, and workspace-specific requirements. Public copy must be backed by the configured tenant policy before it becomes a legal statement.
2. Scope
The policy applies to proof packets, monitor events, reports, account metadata, audit logs, and configured channel data processed by Ping2Reply Radar.
3. Data categories
- Proof packet evidence: request/response metadata, screenshots, headers, and synthetic-check evidence approved for retention.
- Monitoring logs: operational telemetry used to assess lead-intake health, routing, and alert history.
- Account metadata: workspace configuration, report exports, administrative audit trails, and billing-related identifiers.
4. Retention controls
| Data type | Retention source | Deletion method |
|---|---|---|
| Proof packet evidence | Workspace retention policy | Secure deletion after approved window |
| Report exports | Workspace report policy | Owner-controlled archive or deletion |
| Support call transcripts | Channel contract setting | Encrypted deletion when retention ends |
| System telemetry | Operational log policy | Rolling expiration from configured storage |
Enterprise contracts
Contract-specific retention can override defaults only when the tenant policy and data-hosting settings explicitly support it.
Region-specific rules
Jurisdiction rules should resolve from the workspace data residency configuration before publication.
5. Version history
Awaiting approved legal version
Final legal version, effective date, and archive packet must be approved before this page is treated as the binding policy.
Policy source integration
Connect the approved document store or CMS before exposing downloadable policy files.
